Ad Hoc, Contract or Permanent: Which Event Staffing Option Fits?
Event businesses use staff in three main ways. Each fits a different kind of demand, and many companies use more than one.
By Stage Hands UK · Practical guide
Ad hoc crew
Ad hoc means individual shifts or single events. It suits busy weekends, one-off builds and short-notice cover. You use it when you need people for a specific job and nothing more.
Contract staff
Contract means someone for the length of a project or season: a tour, a festival build, a long exhibition. It gives you continuity without a permanent commitment.
Full-time placement
Permanent roles suit businesses with steady demand, such as a venue, production company or event agency. A placement finds the person for your team on a longer-term basis.
How to choose
Ask how predictable your demand is. If it is peaky, ad hoc is flexible. If it is steady for a few months, contract fits. If it is steady all year, a permanent hire usually makes sense.
Mixing the three
Many businesses keep a small permanent core and top up with ad hoc crew and contract staff during peaks. This keeps costs under control without leaving gaps.
Questions to ask your supplier
How quickly can you fill a short-notice shift? Can the same people return for a repeat booking? How do you check reliability? What happens if someone cannot attend?
A simple rule of thumb
Use ad hoc for the unpredictable, contract for the planned but temporary, and permanent for the continuous. Review the mix once or twice a year as your business changes.
