Event Crew Safety Basics: PPE, Site Rules and Briefings

Event sites are busy and temporary, which is why simple safe habits matter. This is general guidance and does not replace your own risk assessment or legal duties.

By Stage Hands UK · Practical guide

Start with a briefing

Every shift should start with a short briefing covering the plan, the hazards, the emergency points and who to go to with a problem. If you are the organiser, make sure it happens even on a short call.

PPE

Safety footwear, gloves and high-visibility clothing are the usual basics. Some tasks need hard hats, eye protection or hearing protection. Our crew are supplied with the correct PPE for the job.

Tell your supplier about unusual hazards in advance, such as working near plant or at height.

Manual handling

Lift with the legs, keep loads close and get help for heavy or awkward items. Use trolleys and ramps where the venue allows. Never carry a load you cannot see over.

Working around vehicles and plant

Keep walkways and vehicle routes separate where possible, use banksmen when reversing and wear high-visibility clothing. Only trained people should operate forklifts and plant.

Working at height

Work at height is specialist. Use trained and equipped people, check that equipment is suitable and have a rescue plan. If you are unsure, ask a qualified person before the day.

Speaking up

The best crews are ones where anyone can say "stop" without fear of a row. As an organiser, make that explicit at the briefing.

Documents

Insurance and health and safety documents are available on request, so tell us what your venue or client needs.

Organiser checklist

Share your site rules and emergency points before the day. Confirm who has first aid cover. Brief the crew at the start of each shift. Make sure walkways and fire exits stay clear. Check that any specialist work is done by suitably trained people.

A note on responsibility

Health and safety is shared between organisers, venues, suppliers and individuals. This guide is general and does not replace your own risk assessment or specialist advice.
